- I hereby grant permission to South African Country and Western Dancing (SACWD) and its authorised representatives to photograph, film, and otherwise capture my image and likeness.

- I further grant SACWD and its representatives the right to produce, use, exhibit, display, broadcast, and distribute these images and recordings in any media now known or hereafter developed, for purposes including but not limited to promoting, publicising, or explaining SACWD and its activities, as well as for administrative, educational, or research purposes.

- All photographs, video images, and voice recordings are the property of SACWD. In the event of my departure from SACWD, its representatives retain the right to continue using any photographic or video material obtained prior to the date of departure, provided such use remains consistent with the purposes stated herein.
Protection and Safeguarding of Personal Information (POPIA Compliance)
1.Store all images and recordings securely and restrict access to authorised personnel only.
2. Retain images and recordings only for as long as they remain relevant for the purposes stated above, after which they will be securely destroyed or archived.
3. Ensure that photographs or videos used for promotional purposes do not include the names or personal details of individuals unless:
• There is a legitimate reason to acknowledge the person or group for their achievements; and/or Specific written consent has been granted by the person or their legal guardian.
4. Refrain from selling, transferring, or disclosing any images or materials to third parties for commercial gain or unauthorised use.
Revocation of Consent
I understand that I may revoke this authorisation at any time by providing written notice to the SACWD Office.Such revocation will not affect any use or action taken prior to receipt of the written notice.

- I hereby do not grant consent to South African Country and Western Dancing (SACWD) and its representatives to photograph, film, or otherwise capture my image or likeness, or that of my child(ren). I understand that SACWD will take reasonable steps to ensure that I / my child(ren) are not included in any official photographs, videos, or promotional material.
Incidental Appearance Clause (POPIA Compliance)In cases where an individual has not granted consent but appears incidentally in a group photograph or video, SACWD will take reasonable steps to ensure that the individual is not identifiable. This may include omitting their name, avoiding tagging or direct identification, or applying digital blurring to obscure their image. These measures are implemented to comply with the Protection of Personal Information Act (Act No. 4 of 2013) and to uphold each participant’s right to privacy.
